Objective
Archive a staff member to remove them from activities within the Coconut platform, including the ability to be booked by clients.
NOTE: If your organization uses the Entra ID <> Coconut integration, a staff member’s user profile must be removed from the Azure user group associated with the integration instead of archiving staff from within Coconut. For more information, please refer to Microsoft’s documentation.
Steps
Archive a staff member
From the navigation menu, click Staff
Navigate to the staff member you want to archive, and click the More Actions (⋮) icon
Click Archive
A confirmation displays; click Archive to confirm
The staff member is archived. When a staff member is archived:
They are deactivated in Coconut and cannot be scheduled by clients as part of the booking process
Their future appointments move into an Unassigned state and require re-assignment by a manager
Data related to the staff member's engagements while they were an active user remains in Coconut and can be accessed through Reports, Insights, and Advanced Analytics
An archived user remains archived in Coconut, and is not deleted from the platform, so that they can easily be reinstated in future by unarchiving the staff member.
Staff can be archived or unarchived by accessing the More Actions menu for the user
Unarchive a staff member
From the navigation menu, click Staff
Navigate to the staff member you want to archive, and click the More Actions (⋮) icon
Hot Tip! Have a long list of staff? Filter staff members by status to more easily navigate to an archived user
From the Status column click the heading
Click Filter
Deselect Active and select Archived
Navigate to the staff member from this shorter list and click the More Actions (⋮) icon
Click Unarchive
A confirmation displays; click Unarchive to confirm
A note on access and visibility
Admin users and managers can access other staff’s profile and assignment details by clicking Staff from the navigation menu.
