Objective

Create and use booking shortcuts to minimize the amount of details a client needs to provide during the appointment scheduling process - increasing efficiency and customer satisfaction.

Steps

Create a booking shortcut

  1. From the navigation menu, click Shortcuts

  2. Click +New

    • NOTE: If this is the first booking shortcut, the page will look a little different; click Create a Booking Shortcut to get started

  3. Select Make all Invite Only and Public resources visible on the client view if you want clients to be able to choose from Invite Only services as well when using the shortcut

  4. If applicable, enter a Staff Category

  5. If applicable, add staff members and decide whether additional staff can be selected as well when using the shortcut

    • NOTE: To remove a staff member, click the more actions () icon and click Remove

  6. Make your desired Meeting Method, Service Category (if applicable), Service, Location, Location Category (if applicable), and Language selections

    • NOTE: If no language selection is made, the booking shortcut will default to the language set for the Client View

    • Hot Tip! If you would like the shortcut to apply to multiple locations, leave the location field blank

  7. If desired, in the Booking Window section, enter a date range for when appointments can be scheduled using the shortcut

    • NOTE: If a booking window is included in the shortcut and a client reschedules the appointment, the booking window is respected, and the rescheduled appointment musts also be within the booking window

  8. If desired, in Additional details, include information clients should know in advance of the appointment

  9. Enter a name for the shortcut

  10. If desired, customize the link address for the shortcut

  11. If desired, set an expiration date and time or a usage limit for the shortcut

    • NOTE: If left blank, the booking shortcut will never expire and/or have unlimited uses

  12. Click Save

The shortcut displays on the Booking Shortcuts screen. From here, you can copy the booking shortcut link or download the QR code for the booking shortcut. To edit the booking shortcut, click the more actions () icon, click Edit, and make your changes. To delete the booking shortcut, click the more actions () icon and click Delete.

Hot Tip!

When creating a booking shortcut, the user creating the shortcut (and that user's assignments) is automatically associated with it if their visibility in Coconut is set to Public. As a result, if you are not able to select items such as a specific service category or meeting method when creating a shortcut, remove the staff member associated with the shortcut and try your selections again.

Share booking shortcuts

Booking shortcuts are shareable amongst admin users at your organization. When shared, admin users can edit booking shortcuts created by other admin users at their organization. They can also view who owns the booking shortcut they are editing.

NOTE: Admin sharing of booking shortcuts is an add-on feature. Please connect with your Customer Success Manager to get started.

Edit a booking shortcut

Admin users can edit booking shortcuts created by other admin users at their organization.

To edit a shortcut:

  1. From the navigation menu, click Shortcuts

  2. Navigate to the shortcut that requires editing and click the more actions icon ()

  3. Click Edit

  4. Make the required changes

  5. Click Save

View a shortcut’s owner

Admin users can also view who owns a booking shortcut, if that shortcut is created by another admin user.

To view a shortcut’s owner:

  1. From the navigation menu, click Shortcuts

  2. From the shortcuts table, click the + icon

  3. From the Add column dropdown, select Shortcut Owner

The column is added to the shortcuts table. Admin users can easily verify who owns the shortcut and connect with their colleague should any actions related to the shortcut be required.

A note on access and visibility

Admin users, managers, and staff can create booking shortcuts and view their own booking shortcuts.

Additional functionality is available to enable admin users to view and edit booking shortcuts created by other admin users. Please connect with your Customer Success contact for more info.
