Objective

Create a busy or away time slot to schedule time in your calendar when you are unavailable for appointments, such as vacation.

Before you begin

For away/busy time slots that span multiple days, Coconut recommends entering the recurrence in daily all-day recurring events. For example, if taking vacation for 3 days, creating three away/busy time slots - one for each day - is recommended. This helps to ensure your availability in the Client View is not impacted by calendar scopes as set by our system.

Steps

A new away/busy time slot can be created from wherever you are within Coconut, and also from within Schedule.

Add an away/busy time slot from anywhere

To add an away/busy time slot from anywhere:

  1. From the navigation menu, click +New

  2. Click Away/Busy

  3. The Away/Busy screen displays; complete the required fields

  4. Click Save

Add an away/busy time slot from Schedule

To add an away/busy time slot from Schedule:

  1. From the navigation menu, click Schedule

  2. Do one of the following:

    • Click + New and select Away/Busy

    • Click the desired date and time from within the calendar and select Away/Busy

      • NOTE: To pre-populate the location and staff member for the Away/Busy time, select the calendar for the desired location and staff member prior to selecting an available date and time

  3. If required, make any necessary changes to the staff and/or location

    • NOTE: This option is available only to Admins, Managers, and Staff Advanced users

  4. Select the date and time for the Away/Busy period

    • NOTE: Start Date, Start Time, End Time, and End Date are automatically populated if the Away/Busy period was created by selecting a time slot from the calendar

  5. Check All Day if the Away/Busy period is for the full business day

  6. To set a recurrence for the Away/Busy time slot, click Repeat, then set the desired frequency and range

    • Hot tip! When creating a recurring Away/Busy time, set the start and end time for the first recurrence, and then set the number of times that recurrence will repeat

      • For example, if away for training from 2-4pm Monday-Wednesday:

        • Set the start date for Monday

        • Set the start time for 2:00

        • Set the end time for 4:00

        • Set the end date for Monday

        • Click Repeat

        • From Repeats, select Daily

        • From End Date, select Wednesday

    • Click Done

  7. Within Details, select a reason for the Away/Busy time slot from the Reason dropdown

  8. Within Details, complete the following optional items, if desired:

    • Enter a title for the Away/Busy time slot in the Title field

    • Enter a brief description explaining the event in the Additional Details field

  9. Click Save

  10. You are returned to Schedule, where you can review and/or edit the Away/Busy time slot

    • Hot Tip! Busy blocks created for the same date and time display in the calendar left to right by oldest created to newest created

Admin users, managers, and staff can create away/busy time slots for themselves and other users.
