March is upon us and with it comes many exciting enhancements and features within our platform!

In this release:

Appointment Scheduling

Primary Attendee

We're excited to introduce a new feature that allows staff to designate a primary attendee for meetings. When marked as primary, this attendee will appear first on the schedule page and will serve as the main contact for phone appointments.

Please note: the primary attendee feature is available only when creating a new appointment.

This update has been automatically enabled for all customers.

Meeting Method Change - Staff Availability

Now, when you change the method of a meeting, we automatically take into account any recent changes to staff availability. This means that even if a staff member adjusts their hours after your meeting was initially scheduled, you'll still see the most up-to-date meeting options.

Scheduled Events - Loading Loop

Previously, a few users experienced issues where their calendars wouldn't load due to a technical glitch involving team member assignments. We've addressed the root cause—a mismatch between staff location records and their service assignments—to ensure that your schedule now loads quickly and accurately.

This bug fix has been automatically applied for all customers.

Queue Management

Dashboard Refactor

We have completed work to improve the speed and load times on the Coconut Dashboard. This makes the experience quicker and more satisfying as you navigate as a staff or admin from the dashboard.

This update has been automatically enabled for all customers.

Multi-Service Walk-ins

We're excited to introduce a new feature to our walk-ins allowing staff to add multiple services during a single walk-in! This can be done in a few different ways:

When you are in a meeting, the number of completed and remaining services will be displayed:

You can view which services the walk-in has been configured within the Dashboard and Lobby:



This feature will be available for all Lobby Management customers. By default, it will remain off but it can be turned on in Settings> Lobby Management> Enable multi-service walk-ins.

Analytics

Advanced Analytics: Filter by Staff Group and Job Title

We've added the ability to filter by staff group and job title on the Engagements Overview, Services Deep Dive, Missed Appointments, and Staff Utilization dashboards. This makes it easier for customers who have a large number of staff members and find the existing filters inadequate to meet their needs.

These updates have been automatically enabled for all Advanced Analytics customers.

Coconut Connect

New Call Entry Notification for Call Organizers

We're excited to enhance your experience with our Connect meetings! To make sure your meetings start smoothly, we've introduced a helpful new feature: if a member or customer is waiting to join your Coconut Connect call, we'll send an email notification to the staff organizing the meeting, letting them know someone is waiting. This way, you can quickly hop on the call without delay.

Don't worry, if you're already on the call, we won't clutter your inbox with unnecessary emails. It's just one more step we're taking to ensure your meetings are successful and stress-free.

Additionally, if the member/customer requests to join the call before the call organizer, they will be told that someone has been alerted that they are waiting.

The new staff notification setting will be available under Settings > Notifications > Staff.

This change will be automatically enabled for all Coconut Connect customers.

Waiting Status Added to Pre-join Attendee List

We’ve added a new status on the pre-join attendee list to indicate someone is waiting to be admitted. Previously, only “In call” or “Not in call” statues were displayed. This will give more information to a call organizer before joining a call.

This change will be automatically enabled for all Coconut Connect customers.

Standardizing Scheduling Rules

Coconut Connect appointments previously had stricter scheduling rules than other meeting methods or video providers. This inconsistency created frustrations with managing Coconut Connect appointments, and we've taken measures to correct this. Coconut Connect appointments will now follow the standard scheduling rules applied to all appointments, regardless of the meeting method or video provider used.

Video appointments booked with Coconut Connect can now be:

  • Scheduled or rescheduled at any time

  • Booked in real time - this was previously blocked if the start time ended up a few minutes in the past while filling in the appointment details

  • Rescheduled or canceled after the start time has passed

Standardizing these scheduling rules for all appointments helps avoid frustrations with managing schedules and creates a consistent experience for all appointments.

This change will be automatically enabled for all Coconut Connect customers.

Issues with Virtual Background in Certain Browser Versions

There is a bug in recent versions of the Chrome and Edge browsers when using virtual or blurred backgrounds. The bug causes the call to crash with an "Out of Memory" error after approximately 5 minutes.

Patches for this issue have been released for the Chrome and Edge browsers as of March 5th, 2024 and March 7th, 2024 respectively. Please update to the latest version to avoid this issue. If you are using a version where the bug is present, please refrain from using virtual or blurred backgrounds.

The bug is seen in the following browser version ranges:

  • Chrome 122.0.6261.57 - 122.0.6261.110

  • Edge 122.0.2365.52 - 122.0.2365.79

Staff

New Staff experience

A new and enhanced Staff experience has been enabled in-app. This new configuration offers a more effortless experience when creating and modifying staff details and assignments.
