Objective
Integrate Microsoft® Exchange with Coconut to provide staff members with the ability to sync and view appointments in either application.
This article provides an overview of the Users Tab in the Microsoft® Exchange Integration with Coconut. The Users tab enables admins to monitor integration permissions, activity, and errors related to users.
Navigate the Users Tab
Access
To access the Users Tab:
From the navigation menu, click Settings
From Integrations & API, click Microsoft Exchange
Click Users to be directed to the users tab
The Users tab displays. It is separated into two sections: Quick Stats tiles and the User Details table.
The Users tab shares Quick Stats and a User Details table with information related to specific users
Quick Stats
Quick Stats display in tile format for: syncing, warnings, and errors.
Syncing
The number in this tile reflects the number of users who have the correct permissions set, and events will sync between calendars as per the integration’s workflows.
Warnings
The number in this tile reflects the number of users who are missing data in either Coconut or Exchange; events will not sync between calendars while warnings are present for a user.
Errors
The number in this tile reflects the number of users who do not have the correct permissions enabled in relation to the Microsoft Exchange Service Account or that have encountered another error while the integration was retrieving permissions; events will not sync between calendars while errors are present for a user.
Display Users by Quick Stat
Click the Quick Stat tile to filter the User Details table and display only users related to that Quick Stat (syncing, warning, or errors).
NOTE: Only one Quick Stat tile can be selected and displayed at one time.
User Details
The User Details table, by default, displays all active users in Coconut and their current permission status related to the integration. Users are grouped by status and then listed alphabetically by last name within each status category.
Filter or Search Users
To filter or search users:
From the User Details table, click the Filter list icon
The Filters menu displays; click one or more statuses to filter by that status, or enter a user’s name/email to search for a specific user
NOTE: Both active and archived users can be searched
Click Clear All Filters to reset the User Details table
Hot Tip!
The number of active filters displays next to the Filter list icon in the User Details table; if users are not displaying in the table, review this icon to confirm no filters are active.
Review sync activity
By default, the last sync displays in the User Details table for each user. Click Log to review the most recent sync activities related to that user.
Review permissions details
To review permissions information for a user:
From Permissions, click Details
The email, sync status, and last sync time display in the permissions table; click the expand icon for additional details related to the user’s sync status
The following are sync status and corresponding details that may display in the permissions table:
Category | Status | Details | Next Steps |
Errors | Incorrect Permissions | The service account associated with Microsoft Exchange cannot access or manage the Exchange details with the proper set of permissions | Resolution of service account permissions issues within your organization’s Microsoft® Exchange setup required |
Errors | Access Denied | The integration received an ErrorAccessDenied code from Exchange; occurs when the service account does not have the right to perform the requested action; often due to Access Control Entries containing unresolved names for user accounts in the Access Control List | Editing the corrupted Access Control Entry within your organization’s Microsoft Exchange setup can resolve this issue |
Errors | Cannot Retrieve Permissions | Received an ErrorBatchProcessingStopped code from Exchange; often due to an Access Denied error, as Exchange will stop processing a batch job if multiple Access Denied errors occur | Resolution of Access Denied issues within your organization’s Microsoft Exchange setup required |
Warnings | Could Not Access Calendar | Received an ErrorFolderNotFound code from Exchange, indicating the specified folder ID does not correspond to a valid folder or the delegate does not have permission to access the folder (the Exchange service account does not have access to the calendar for that user) | Resolution of delegate permissions within your organization’s Microsoft Exchange setup required |
Warnings | Does Not Have An Exchange Account | Occurs if no email is set in Coconut for the user; can also occur if an ErrorNonExistentMailbox code is received | Ensure the correct email address for the user is set in Coconut and is also present in CreateManagedFolder as part of your organization’s Microsoft Exchange setup |
Warnings | Does Not Have A Coconut Calendar Schedule | User is not set up in Coconut to take appointments | Ensure the user is assigned locations and services in Coconut |
Syncing | Synced | The user is syncing successfully; no action required | n/a |
