Adjust Working Hours for a Staff Member

Objective

Update working hours for yourself or a staff member to reflect one-time or short-term adjustments, such as for vacation or other time away from work.

Steps

  1. From the navigation menu, click Hours

  2. Click Adjustments

  3. Click +Add

  4. Select Working Hours

  5. Click Continue

  6. Enter the location for which your hours or the staff member’s hours will be updated

  7. Enter the name of the staff member whose hours you’re updating

  8. Select the date and times you or the staff member will be unavailable

    • NOTE: If you or the staff member will be available part of the time within a specific day, click Split Times and enter each unavailable time as its own segment

      • For example: You are taking part in training from 9-10 and 2-3 this Thursday, so you click Split Times and enter 9:00-10:00 as the first unavailable time and 2:00-3:00 as the second unavailable time

  9. To set a recurrence for the adjustment, click Repeat, then:

    • Set the recurrence frequency (Daily, Weekly, Monthly, or Yearly)

    • Set the day/time for the recurrence

    • Select whether the recurrence will end on a specific date or after a set number of recurrences

      • For example: The training you are taking part in from 9-10 and 2-3 on Thursday runs on each Thursday this month, so you click Repeat and set the recurrence to:

        • Repeat every 1 week, on Thursdays, ending either on the specific day after the last instance of training OR after 4 occurrences

  10. Click Save

In the following example, a staff member creates an adjustment to only be available Wednesday mornings for the next 6 weeks to accommodate a professional development opportunity.

The adjustment for that location and staff member are noted in the results table. Future changes can be made by clicking View and editing the adjustment. Or, the adjustment can be archived by clicking View and then clicking Archive.

To quickly navigate to a desired adjustment in the future, click the Filter list icon.

Hot Tip!

If you create an adjustment and it isn’t taking effect, it is likely there is an existing record in place that conflicts with the new record. To resolve this, search for existing adjustments for this staff member and edit or archive the conflicting result so that the newly created adjustment can take effect. If you create two adjustments with different times for the same staff, location, and day, it will merge into one.

A note on access and visibility

Admin users can create adjustments for any staff member at any location.

Managers can create adjustments for themselves and for any staff member at locations to which the manager is assigned.

Staff members can create adjustments for themselves at the locations to which they’re assigned.
