Objective
As a Staff member, you want to leverage Coconut to deliver on key objectives by having easier and more efficient appointment management, increased client/member engagement, seamless online booking for customers/members, stronger customer/member relationships, and the ability to make data-driven decisions at your organization.
Getting Started
The Staff role has access to key functional areas of Coconut including Dashboard, Schedule, Hours, Shortcuts, and Insights and Reports.
Facilitate appointments using Dashboard
From Dashboard, you can review and facilitate the day’s appointments, as well as use the date and - if enabled by your Coconut admin - the location picker to review appointments for another time or at another location. You can also maintain ongoing relationships with clients/members by inviting them to schedule a follow-up appointment directly from the appointment once it’s completed.
Hot Tip! Coconut recommends getting into the habit of starting, stopping, and completing your appointments as they take place so that you can gain accurate and valuable insights into your engagements.

Manage appointments in Schedule view
From Schedule, you can create, update, or cancel an appointment on behalf of a customer/member or, depending on your permission level in Coconut, another staff member. In Schedule, you can also create an away/busy block for yourself or another staff and, depending on your permission level in Coconut, move appointments to another team member.
Manage availability using Hours
From Hours, you can set your working hours at each location, or add an adjustment to alter your schedule for a specific timeframe. There are a few different ways to indicate availability in Coconut:
Primary availability
Set through working hours
One-time or recurring absences
Set by creating away/busy blocks
Modify working hours for a known time frame at a specific location
Set by adding working hours adjustment

Create a Booking Shortcut
Booking Shortcuts are a convenient way for your customers/members to book appointments.
From Shortcuts, you can create a direct link to your calendar that is further refined by service, meeting method, and/or location. This cuts back on the number of clicks needed during the appointment scheduling process, making it even more efficient and increasing overall customer satisfaction.

Review data using Insights or Reports
Insights can provide important snapshots of data relating to key areas of your business.
Appointment-taking staff in Coconut have access to insights and reports related to their engagements. You can maximize your customer’s/member’s experience by reviewing their preferred meeting methods, locations, when they prefer to book, etc. on a regular basis.

Group customer info with Workflows
Staff members in coconut can leverage workflows to connect related customer/member and engagements info in a centralized view. Workflows enables you to review all engagement activity related to a customer/member in one place, providing a unified in-app experience similar to a lightweight customer relationship management solution.

More info for staff accepting walk-ins
Facilitate a walk-in
From Lobby, you can review upcoming and in-progress appointments, as well as walk-ins who have added themselves to the queue.
From Dashboard, you can begin a walk-in engagement by selecting the unassigned event, viewing the event details, and clicking start to begin the walk-in.

Manage availability to accept walk-ins
From Lobby, you can manage whether you are available to take walk-ins at your location that day.
When you are set by a manager or set yourself to taking walk-ins, your availability is calculated based on the same factors used to determine your availability for pre-booked appointments: location hours, your working hours, any appointments or away/busy blocks in your calendar for the day, and any adjustments. It is important to ensure that whether you are or are not taking walk-ins at a specific location that day is set accurately, as this impacts wait time calculations for clients/members when they add themselves to the queue.
