Objective

Understand the differences in permissions between the various users/roles within Coconut.

Roles

There are six available roles within Coconut: Admin, Manager, Staff Advanced, Staff Plus, Staff, and Contact Centre. These roles have varying permissions within the system, which grant or restrict access to functionality and/or areas within Coconut. The following tables summarize permissions within product areas by role.

NOTE: The numeric level for each role - noted in parentheses following each role name - represents the code for that role that is used by the platform when mass importing a .csv file of users into the system.

Permissions Overview

Contact Centre (5)

A user assigned the Contact Centre role can:

  • Access the Call Centre booking tool, which allows the user to schedule, manage, and edit appointments on behalf of clients

  • Access the Clients and Help sections of Coconut

Staff (10)

A user assigned the Staff role can:

  • View, manage, and edit their appointments from Schedule

  • Add an appointment for themselves or other Staff users from Schedule

  • Review client details for clients they have had an appointment with

  • Add working hours and/or adjustments for themselves

  • Access their analytic data in the Insights and Reports sections of Coconut

Staff Plus (13)

A user assigned the Staff Plus role can:

  • View theirs and others’ appointments from Schedule for all assigned locations

  • Add an appointment for themselves or another staff member (of equal or lower permissions) from Schedule

  • Review client details for all clients at all locations to which they’re assigned

  • Add working hours and/or adjustments for themselves

  • Access their analytic data in the Insights and Reports sections of Coconut

Staff Advanced (15)

A user assigned the Staff Advanced role can:

  • View, manage, and edit theirs and others’ appointments from Schedule for all assigned locations

  • Anyone with a role above staff (10), which includes Staff Plus, Staff Advanced and Manager, is allowed to add an appointment for themselves or another staff member (of Admin or lower permissions) from the Schedule View.

  • Add an appointment for an Admin user by going to the admin's schedule and clicking on the desired time slot

  • Review client details for all clients at all locations to which they’re assigned

  • Add working hours and/or adjustments for themselves

  • Access their analytic data in the Insights and Reports sections of Coconut

Manager (20)

A user assigned the Manager role can:

  • View, manage, and edit theirs and others’ appointments from Schedule for all assigned locations

  • Access the Staff section of Coconut and view all staff assigned to locations the manager is assigned to and, if configured by admins, all staff without a location assignment

  • Create new users (with the exception of Admin users)

  • Review client details for all clients at all locations to which they’re assigned

  • Access analytic data for all assigned locations (and staff assigned to those locations) from the Insights and Reports sections of Coconut (and Advanced Analytics, if enabled)

Admin (30)

A user assigned the Admin role can:

  • View, manage, and edit theirs and others’ appointments from Schedule for all locations

  • Access the Staff section of Coconut and view and edit all Staff

  • Create, archive, and unarchive users of any type

  • Review client details for all clients

  • Access analytic data for all locations and staff from the Insights and Reports sections of Coconut (and Advanced Analytics, if enabled)

  • Access all areas of the platform and edit elements within all areas

  • Access and modify settings
